Upload a grant award letter, get the reporting schedule it contains
GrantClose reads the text of a PDF or Word award letter, lists each report and due date it finds with the sentence and page it came from, and creates a deadline only for the ones you accept. Free for 1 active award, 1 seat and 250 MB, with every feature.
How it works, and the by-hand version
In GrantClose: create an award, upload the letter, click Find dates, read each candidate beside its source sentence, then accept, edit or reject it. Accepted dates become deadlines you can give an owner.
By hand, with no tool: read the letter for the period of performance, then every report, deliverable and the rule that sets its date. Write each as a row with the exact sentence that says it. The full method is in how to find the reporting requirements in an award letter, and the date arithmetic is in building a grant reporting calendar. You can also run the dates through the free schedule calculator, no signup.
What you get after you upload the letter
- A list of candidate reports and dates found in the text of the letter, each showing the sentence and page it came from, so you can check it against the source in seconds.
- Nothing becomes a deadline until you accept it. You can accept a candidate as found, edit it, or reject it.
- Recurring reports from one rule. Monthly, quarterly, every six months, yearly, a number of days after the award ends, or a single date. Change the award dates later and the rows you have not started are regenerated.
- An owner and a status on every deadline, from not started to accepted, with email reminders to the owner at 30, 14, 7, 1 and 0 days before and weekly once overdue.
What it does not do
- It does not read scanned letters. It reads the text layer of a PDF or a Word file. If your PDF is a scan with no text layer, it says so and opens manual entry. There is no OCR.
- It does not use AI. Extraction is rule-based, which is why every suggestion points to a sentence you can read. It will miss unusual wording, so read the letter yourself as well.
- It does not decide for you. The suggestions are a starting point, and you confirm each one.
Try it on one award
- Pick an award letter you already hold, as a PDF with selectable text or a Word file.
- Create a free account and add the award with its start and end dates.
- Upload the letter and click Find dates.
- Compare each suggestion to its source sentence. Accept the right ones, edit the near misses, reject the rest.
- Give each deadline an owner.

Questions
Which file types can I upload?
PDF files that have a text layer, and Word (.docx) files. Other files can be attached to a deadline as evidence, but only the letter and its amendments are read for dates.
What if the letter is a scan?
GrantClose tells you the file has no text layer and opens manual entry, where you type the dates yourself or use the free calculator first.
Does it submit anything to the funder?
No. GrantClose never submits anything to a funder and does not connect to funder portals.
Is the free plan a trial?
No. Free is limited to 1 active award, 1 seat and 250 MB, and it includes every feature. There is no time limit.
