Grant management software for small nonprofits: six things to check

Most small nonprofits do not need software to find grants; they need something that stops a report from being missed once an award is signed. Here is how to judge any tool for that job, and where GrantClose fits. Free for 1 active award, 1 seat and 250 MB, with every feature.

First, decide which half of the job you need

Grant tools split into pre-award (finding funders, tracking applications) and post-award (reporting dates, owners, evidence, closeout). GrantClose is post-award only, for the grantee side. If your problem is finding funders, look at a discovery tool. If your problem is that deadlines live in award PDFs, read on.

If you hold one or two awards and one person keeps a sheet current, a spreadsheet is a fair answer. The GrantClose vs a spreadsheet page says where it stops working.

Six criteria for post-award tracking

  1. Where do the dates come from? Typing each one from the letter is slow and error-prone. Check whether the tool can read the letter, and whether you can see the source of every date it suggests.
  2. Does every deadline have one owner? A shared inbox is not an owner. Ask whether reminders go to the person responsible. See who should own a grant deliverable.
  3. What happens when an award is amended? An extension moves the end date and the final report. Check whether recurring dates regenerate or must be re-keyed.
  4. Where does the evidence live? The receipt and the submitted report should sit beside the deadline they support.
  5. What does closeout look like? Ask what you can export when the award ends, and whether you can still open it after you stop paying.
  6. What does it cost at your size? Check the limit on active awards and seats in the same sentence as the word free or the price.

How GrantClose answers them

CriterionGrantClose
DatesReads the text of a PDF or Word award letter and suggests each date with its source sentence and page; you accept or edit. No AI, no OCR for scans
OwnersOne owner and a status on every deadline; reminders by email at 30, 14, 7, 1 and 0 days before and weekly when overdue
AmendmentsRecurrence rules are stored, so changing award dates regenerates deadlines you have not started
EvidenceFiles and notes attach to the deadline they support
CloseoutOne ZIP per award with an index and a checksum per file; closed awards stay exportable on every plan
CostFree for 1 active award, 1 seat and 250 MB; Pro $39 a month or $390 a year (up to 10 active awards, 3 seats); Team $89 a month or $890 a year (10 seats). See pricing

What GrantClose leaves out

The quickest test is one real award: create a free account, upload the letter and see whether the dates are right. Free for 1 active award, 1 seat and 250 MB, with every feature.

GrantClose never submits anything to a funder, writes your reports or gives legal, audit or compliance advice. Your award agreement and your funder's instructions are the authority on every date and requirement.

Questions

Is GrantClose a grant discovery tool?

No. It starts after an award is signed and covers the reporting schedule, owners, evidence and closeout.

How many people can use the free plan?

One seat, with 1 active award and 250 MB. Pro allows 3 seats and Team 10.

Do I need a spreadsheet as well?

Only if you track budgets, which GrantClose does not. Many teams keep budgets in a sheet and the report schedule in GrantClose.
